1.1 Purpose and Scope

This guide supports the procurement of lounge seating (lounge chairs, lounge sofas, occasional chairs and waiting chairs) for hotel public areas. It covers requirement definition, selection criteria, quality standards, supplier management, procurement process, delivery acceptance and routine maintenance. It applies to new-build hotels, renovation projects and top-up purchases.

Defining the Procurement Requirement

2.1 Public Area Scenarios and Selection Requirements

Usage intensity, environmental conditions and design expectations vary significantly by area. Define requirements by scenario before selection (see Table 2-1).

2.2 Guest Profile and Usage Intensity

Classify usage intensity by traffic and dwell time: high-traffic areas (lobby, restaurant) need abrasion resistance, easy maintenance and structural redundancy; long-dwell areas (lounge, waiting) prioritise comfort; humid and outdoor areas need moisture, corrosion and weather resistance. The target guest profile (business, family, senior) influences seat height, armrests and cushion firmness.

Core Selection Criteria

3.1 Ergonomics and Comfort

Lounge chairs must balance support and relaxation. Common ergonomic reference values are given in Table 3-1; always verify against the target guest profile and arrange multi-person trial seating reviews.

3.2 Structure and Frame

The frame determines service life. Common options: hardwood solid frames (beech, rubberwood - formal styles), metal frames (carbon steel / stainless steel / aluminium - high strength, moisture and corrosion resistance, suitable for high-traffic and outdoor areas), and bentwood/multi-ply frames (lightweight, cost-effective). For high-traffic public areas, specify a structural load rating of at least 150 kg including safety factor; prefer mortise-and-tenon joints reinforced with hardware, or full welds; treat metal parts against corrosion.

3.3 Cushioning Materials

Use high-resilience foam (density ≥35 kg/m³, 40–45 kg/m³ recommended for public areas), optionally combined with moulded foam or a feather-foam blend for a softer feel. All fillings must be flame-retardant treated and meet the relevant GB 17927-2024 grade.

3.4 Upholstery Materials

Prioritise abrasion resistance, stain resistance, flame retardancy and cleanability: contract fabrics should achieve at least 30,000 Martindale rubs (40,000+ recommended for high-traffic areas); leather and PU leather should be assessed for abrasion, scratch resistance, cracking resistance and breathability. For F&B and outdoor areas, prefer water- and stain-repellent fabrics with removable washable covers.

3.5 Flame Retardancy and Fire Safety (Key)

Hotels are public gathering places; the flame-retardant performance of public-area furniture directly affects fire-safety acceptance. Under GB 17927-2024 (effective 1 September 2025), furniture flammability is graded into Grade I (cigarette ignition source), Grade II (simulated match flame) and Grade III (wood crib). General public places must meet Grade II or above; high-risk places such as nursing homes, public entertainment venues and hospital wards require Grade III (see Table 3-2). For hotels, general public areas (lobby, corridors, restaurants) should meet at least Grade II, while on-site entertainment venues (KTV, bars, performance halls) should meet Grade III; also apply the GB 8624 burning behaviour classes and GB/T 20286 requirements (B1/B2) as required, subject to local fire-safety acceptance. Always require a third-party flame-retardant test report matching the delivered model.

3.6 Environment and Health

Require wood-based panels to meet GB 18580 Class E1 (ENF where stricter is needed) and wooden furniture to meet GB 18584; monitor TVOC and heavy-metal limits. Request environmental test reports; where feasible, prefer products certified under GB/T 35607 (Green Product Evaluation - Furniture).

3.7 Durability and Maintainability

Prefer removable washable covers, replaceable cushions and hardware. Keep spare fabric and cushioning stock. Treat hardware and casters (if any) against corrosion; round exposed corners to reduce injury risk.

3.8 Style and Brand Fit

Lounge chairs are a visual anchor of public areas and must align with the hotel brand positioning and the design language of the lobby and lounge. For custom pieces, contractually agree design development, sample sealing and intellectual-property ownership.

5.2 Sampling and Physical Review

6.2 Key Control Points

Seal samples and fix test reports at the sampling stage; lock price, lead time, warranty and spare-parts ratio at contract stage; pay by milestone and arrange inspection during production; execute delivery acceptance per Section 7, with non-conforming batches returned or replaced at the supplier's cost per the contract.

Acceptance Standards at Delivery

7.1 Documentation

  1. Factory certificate of conformity and user manual;
  2. Third-party test reports (harmful substances of panels, paint, fabric, foam and adhesives);
  3. Flame-retardant test report and marking;
  4. Hardware warranty card;
  5. Delivery list matching the purchase order (quantity and category).

7.2 Appearance

  1. No scratches, dents or colour differences;
  2. Even stitching, no loose or skipped seams;
  3. No obvious defects in leather/fabric;
  4. No corrosion or loose hardware;
  5. Undamaged packaging and no transit damage.

7.3 Structure and Dimensions

  1. Measured dimensions match the design drawings;
  2. Sitting feel matches the sealed sample;
  3. Check for wobble and noise;
  4. Load spot-check;
  5. Level, all four feet in contact with the floor.

7.4 Odour and Environmental Acceptance

No strong irritating odour on unpacking; if present, judge only after TVOC/formaldehyde testing and return non-conforming batches per the contract.

7.5 Sampling and Return Rules

Sample per batch; a sampling rate of at least 10% is recommended for identical models in the same batch. Non-conforming batches are returned or replaced per the contract at the supplier's cost.

8.2 Total Cost of Ownership (TCO)

Evaluate unit price, freight, installation, maintenance and replacement cycle together. Public-area furniture is typically replaced every 5–8 years (3–5 years in high-traffic areas); cheap low-quality products often fail early due to sagging or peeling and end up with a higher TCO. Score quality, price and service together instead of awarding to the lowest price alone.

  1. Fabric: vacuum regularly; treat stains promptly with a neutral cleaner; wash removable covers per instructions;
  2. Leather/PU leather: wipe regularly with a soft cloth; avoid direct sun and sharp objects; use dedicated care products;
  3. Wood surfaces: avoid direct sunlight and standing liquid; wipe dry with a soft cloth;
  4. Metal parts: keep dry; treat rust spots promptly;
  5. Foam and structure: check resilience and frame tightness every six months; report abnormalities promptly.

Keep sufficient spare parts (fabric, cushions, hardware) for quick replacement to sustain operations.
